Custom AI systems for hospitality operations

Make your operation work as one.

We build dependable AI systems that complete operational workflows across the tools your hospitality business already uses—from inquiry and planning through execution and follow-up.

The operational gap

You have the software. Your team still carries the business between it.

The guest's viewThe work behind it

The guest sees one business. Behind the scenes, the work is split across systems, inboxes, spreadsheets, and memory. That is where context gets lost, decisions slow down, and good people spend their time holding the operation together.

01

Context is scattered.

The information needed for one decision lives in several places.

02

Handoffs depend on memory.

Important work moves only when the right person remembers the next step.

03

Insight stops before action.

Reports explain what happened but leave the follow-through to the team.

From inquiry to signed contract to floor-ready handoff.

The steps and authority adapt to each operation. The complete job—not one isolated task—is the unit we design around.

  3. 03Check availability

What we build

AI that fits the operation—not the other way around.

Every engagement starts with the work, not a predetermined product. We assemble the right combination of connected data, business rules, AI, and human review around one valuable operating loop.

01 Connect

Connected operating context

Bring the information that matters together across the systems already in use, so the team and the AI work from the same picture.

  • Cross-system data
  • Shared definitions
  • Reliable business context
02 Move

Operational workflows completed end to end

Carry repeatable work from signal through action across the systems, approvals, and handoffs where it currently slows down.

  • Workflow orchestration
  • Cross-system execution
  • Approvals and handoffs
  • Exception handling
03 Decide

Decision and approval tools

Turn live operating context into a clear recommendation, with the rules, evidence, and approval boundary visible to the person responsible.

  • Grounded recommendations
  • Approval surfaces
  • Audit and accountability
04 Equip

Custom internal systems

Give operators a focused tool for the job when the existing stack leaves a critical workflow fragmented, opaque, or entirely manual.

  • Purpose-built interfaces
  • Operational reporting
  • Team knowledge systems

Who we help

Built for hospitality businesses with moving parts.

The best fit is not a particular concept or software stack. It is an operation where several teams, systems, and guest journeys must come together every day.

Three cooks plate dishes side by side on a steel pass, one ladling sauce.
Restaurants

Independent, group, and multi-location operations.

For teams coordinating guest experience, labor, purchasing, sales, and management across more systems than anyone wants to think about.

Event spaces

Venues where every booking becomes an operation.

For spaces managing a long path from first contact through planning, execution, guest experience, and the work that follows.

Four kitchen staff gather at the pass while one of them plates a dish.
Multi-use hospitality

Businesses that are more than one thing.

For hospitality concepts combining restaurant, bar, private events, entertainment, membership, catering, or other operating models under one roof.

How we work

Start with one costly workflow. Finish the loop.

Custom does not mean improvised. Every engagement follows a disciplined path from operating reality to a working system in the hands of the team.

  1. 01
    Observe

    Find the real constraint.

Map the current workflow, tools, people, exceptions, and cost of leaving it as-is.

  2. 02
    Define

    Design the complete loop.

Set the outcome, system boundaries, business rules, human authority, and proof.

  3. 03
    Build

    Implement in the real stack.

Connect the sources and build the workflow where the operation already lives.

  4. 04
    Prove

    Launch with control.

Run with supervision, verify sensitive actions, and observe real operating use.

  5. 05
    Expand

    Earn the next workflow.

Improve what is live, measure the change, and choose the next constraint deliberately.

Built for trust

AI should earn its place in the operation.

01

Grounded in the business

Recommendations and actions draw from the venue's systems, rules, and approved context.

02

Human control by design

Sensitive decisions stop at an explicit review point instead of disappearing into a black box.

03

Traceable from end to end

The team can see what the system used, what it proposed, what happened, and where it needs help.

04

Scoped to earn confidence

We prove one complete workflow in real use before widening the system's responsibility.

Cosmo is a business consulting and implementation company focused on practical AI for hospitality operations.

We work closely with operators to understand how the business really runs, then stay through the unglamorous work of connecting systems, encoding rules, handling edge cases, testing the workflow, and putting it into production.

The goal is not more software. It is a better-run operation—with less coordination tax on the people responsible for the guest experience.

We stay after launch to monitor what is live, handle exceptions, improve performance, and earn the next workflow.

Tell us where the work gets stuck

Common questions

Before we begin.

Do we need to replace our current software?

Usually, no. Cosmo is designed to work around the systems already carrying the business. Discovery identifies what can be connected, what should remain as-is, and where a focused internal tool is genuinely needed.

What kind of workflow is a good place to start?

Look for recurring work that crosses systems or roles, has clear business value, and follows rules the team can explain. The first engagement identifies the best candidate rather than assuming one in advance.

Is every solution fully autonomous?

No. Authority is set workflow by workflow. Some repeatable work can run on its own; sensitive or judgment-heavy decisions should be prepared by the system and reviewed by the responsible person.

Do you stop after delivering recommendations?

No. The work includes implementation. We define the workflow, build it into the real environment, test it, launch it with the team, and improve it from observed use.

Start with the work

What is your team still holding together by hand?

Bring us the workflow, the systems involved, and what it costs when the work slows down. That is enough to start a useful conversation.

A good first note includes
  • The kind of operation you run
  • The tools involved
  • Where the workflow gets stuck
  • What better would look like
